Outlook contains a set of folders to store different types of information. When a new email arrives, Outlook automatically stores that email in Inbox folder. You can also create and organise new folders in Outlook and can also work directly with folder hierarchy by displaying Folder list. Many Outlook users, who have been subscribed to mailing list, receive hundreds of emails per day. Manually sorting so many emails into the right place takes more time. In order to avoid this problem, Outlook has rules, which automatically sorts and directs certain kinds of mails to specific locations. You can create rules using Create Rule dialog box. Outlook can also apply special rules to filter junk emails stored in the Inbox folder. You can view header of received emails by selecting Inbox in Outlook Bar.

Generally, there are two ways to delete unwanted emails,

  • Emails can be deleted using Information Viewer’s Standard Toolbar. When the emails are deleted from Inbox or from any other folder of Outlook, they are not permanently deleted from the hard drive. Instead, emails are moved to “Deleted Items” folder. If you want to restore deleted emails then you can restore them from “Deleted Items” folder easily
  • Emails can also be deleted using Shift+Del keys. When the emails are deleted using Shift+Del keys, they are not moved to “Deleted Items” folder instead they are permanently deleted from Outlook.

Although, the emails are deleted from Outlook Inbox, they are not deleted permanently from the hard drive. Scenarios in which emails are lost or deleted from Inbox,

  • Sharing PST file over network: Outlook stores all its data in a PST (Personal Storage Table) file. PST file is stored on a local drive of your computer.   • Errors while compacting the PST file: In order to increase the performance of Outlook, PST files can be compacted. Sometimes, you may encounter some errors while compacting the PST files. These errors corrupt the PST file and makes all emails stored in PST file become inaccessible resulting in loss of emails.
  • Antivirus scanning leads to PST file corruption: Antivirus program is used in every computer, to avoid data loss due to virus attack. This antivirus program scans each incoming and outgoing emails from Outlook. Sometimes, while scanning, it may delete the emails resulting in loss of emails.

To overcome the above mentioned problems, Outlook has an in-built Inbox Repair Tool i.e. Scanpst.exe that repairs corrupted or damaged PST file. Scanpst is located at C:\Program Files\Microsoft Office\OFFICE12. The main disadvantage of Scanpst.exe is that it cannot repair severely corrupted PST file i.e. if Scanpst does not understand any file then it completely deletes that file resulting in loss of emails. Hence, you need to use efficient recovery tool. Follow the steps given below to repair PST file,

Step 1: Download and install PST Repair Tool then launch it. Based on your need, select one of the three options i.e. "Open PST file", "Find PST file" or "Select Outlook Profile" from the main window. Select the appropriate PST file and click on "Next"

Step 2: Select either "Normal Scan" or "Smart Scan" from the next window then click on "Repair" button as shown in Figure 2.

Step 3: The software starts repairing the corrupted PST file. After the repair process is complete, view recovered emails and other Outlook data as shown in Figure 3.
